Department History:

 

Prior to the advent of microfilm, paper records were kept on file for storage and public access. With the advancements in technology, the Microfilm Department was created around 1963, employing one person to copy the documents. In approximately 1993, the Search Department separated from the Recording Department and became part of Microfilm. Today, the Research/Microfilm Department employs numerous people who provide a variety of services to the Clerk and to the public. Each year over 1 million pages are filmed/scanned for archival storage.

Department Functions and Services:

Microfilm:
We are responsible for the imaging (scanning) of records for Circuit Civil, Domestic Violence, Family Relations, Felony, Mental Health, Probate, Small Claims, and Juvenile. We backup these digital images on DVD and also on archival quality microfilm. We also provide quality control for the Recording Department's Official Record Books. Once a Book has been scanned, we verify each image and notify Recording of any image corrections needed. Once an O.R. Book is verified and corrected, we back the images up on CD, DVD, and archival microfilm and notify Recording the book may be released. The Microfilm Department did all of the in-house scanning of the Clerk's Official Record Books and Plat Books that were on microfilm, thus making them available in the digital format. These Official Record Books are available for purchase on CD. We also offer the Plat Books for purchase on CD.

Research:
The Research division of the Microfilm Department is responsible for interfacing with the public. The department personnel answer customer questions regarding recorded documents both in person and by phone. They search for and make copies of requested documents for the public, write up charge slips or cash receipts, do billing for other departments in the Clerk's office, and apply payments to accounts. Many requests come from title companies requiring printed copies of documents.

The Research division also will look up parcel I.D. numbers and legal descriptions for people by name. This request is usually made by people who need this information in order to record a document. People may also come to the Courthouse to do searches on their own. The department personnel are available to provide instructions for the operation of the Search Room equipment. You may also access this information through the Public Records Search portion of the Clerk's website.
